Job Purpose
The Grants Coordinator is responsible for coordinating proposals, donor reporting, information and grants management systems for the GOAL Syria grant portfolio. Reporting to the Senior Grants Coordinator, and working closely with programme coordinators, MEAL and Systems departments, you’ll be responsible for supporting programme development, coordinating proposal development processes and timeframes, and supporting with donor communications.
Based in our Syria office in Damascus you’ll be part of a small, high performing Grants Unit, led by Director of Programme Development and Awards and including the Senior Grants Coordinator and Grants Manager.
Main Responsibilities:
Program and New Business Development
- As requested by the Senior Grants Co, lead and/or support on in funding strategy development and review.
- Research and gather business intelligence for the purpose of identifying opportunities in advance, tracking, and responding to donor trends.
Support the development of new propositions and pitches in line with GS country strategy plan. - Lead on the development of designated concept notes and proposals.
Grants Management & Program Support -
- Manage all donor reporting processes through the coordination and drafting of high-quality donor reports for the GOAL Syria grant portfolio, ensuring compliance with GOAL and donor requirements and timely submission to donors.
- Ensure sound management of reporting requirements, including via partners (and in coordination with the Partnership Coordinator), ensuring timely and quality submission to donors.
- Monitor and supervise all external reporting to ensure timely delivery of high-quality reports which meet donor and GOAL requirements.
- Ensure the availability of an up-to-date reporting calendar
- Develop and maintain grant management tools, such as reporting and proposal trackers and workplans, regularly circulating to relevant staff.
- With the support of the Grant Manager, ensure that regular grant management meetings are held, with minutes and relevant documents disseminated, and action points followed upon.
- Strengthen and build the capacity of the Programme and Grants team to develop creative, responsible, competitive concept notes and proposals
- Participate in monthly Budget Management Team (BMT) meetings. Ensure communication and follow-up with the senior grant coordinator on finance-related issues raised.
- In close collaboration with the GESI Adviser and Protection Manager, ensure that GESI and protection mainstreaming is reflected in donor reporting and reviewed in grants managements meetings.
Communications, Representation & Donors Engagement -
- Coordinate with program, communication and grants staff as appropriate to develop programme briefs and summaries as well as grant progress updates
- Ensure drafting and routine updates on GOAL Syria program for use in external stakeholder advocacy and new business development efforts.
- Represent GOAL in donor meetings as and when required.
Donor & GOAL Compliance -
- Collaborate with PQ team leads to ensure that donor Third Party Monitoring (TPM) exercises are supported and prepared for.
- Ensure the dissemination with relevant staff copies of all grant documentation
- Support the Grants Manager to ensure comprehensive grant files are maintained up to date and are available for use by key staff.
Staff Capacity Building
- Provide technical guidance and support to the Grants Manager and the Grant Officer;
- Identify personal professional development capacity gaps and address through training and other knowledge building resources.
Key Requirements:
- Previous professional experience in grants management and developing programs in a humanitarian setting.
- Previous knowledge of ECHO, OCHA and/or USAID funded programmes.
- Previous proposal writing experience and demonstrated success at winning awards.
- Demonstrated ability to coordinate complex activities, meet deadlines, and exercise sound judgment.
- Excellent time management, planning and organisational skills,
- Prior experience directly managing staff
- Excellent interpersonal, communication, and strategic planning skills required
- Fluency in English and strong English writing skills is required.
- Travel: Ability and willingness to travel regionally when required.
Desirable
- Excellent appraisal and analytical skills
- Good contextual knowledge of Northwest Syria ‐ social, cultural and economic context, priorities and constraints.
- Previous field experience in MENA region.
- Experience with donor mapping and grant acquisition strategy
